Scanning and indexing your business documents offers many advantages that can streamline operations and improve efficiency. Digitizing documents eliminates the need for physical storage space, reducing clutter and costs associated with paper-based filing systems. It also allows for easy access to important information, allowing employees to retrieve and share documents quickly regardless of their location. Also, digital documents can be backed up securely, guarding against data loss due to unexpected events like fires or floods.
In addition to scanning your paper documents, Century offers many additional services, such as Optical Character Recognition (OCR), which enables text search within scanned files. Century also offers an online, cloud-based Electronic Document Storage and Retrieval system to quickly allow your business to start implementing paperless processes. And Century also offers Workflow in the Cloud, which allows your documents to be routed to specific employees in your organization based on your business rules.
Your documents are valuable. You need an experienced document imaging company that you can trust. Century has been providing document management services to businesses for over 50 years. Century has successfully performed large-scale document scanning projects for all types of businesses including manufacturers, banks, distributors, hospitals and many other types of businesses across the country. Whether your project is large or small, you can trust Century to deliver a high-quality end-product in the format you need and in the timeframe you need it.
Century picks up your documents at your office on a schedule convenient for you. Or if you have documents coming in from all over the country, you can have them sent directly to Century to sort, scan, and put on CenCloud Document Repository for you to review from your computer. Century does all of the paper handling for you. CenCloud alerts you by email when you have documents ready to review. After you review a document, you can click a button to route it to someone else in your organization.
After your documents arrive at our facility, Century personnel will prepare the documents so that they can be fed through our scanners. This usually involves steps such as unbinding documents, removing staples, fixing torn pages, etc.
Century scans your documents and outputs them as named PDF files. Century indexes your documents using OCR and Barcode technology for use in naming the PDF files or use in instant retrieval from anywhere using CenCloud.
Century's experienced personnel make sure your document images are scanned cleanly and that indexing information is accurate. Your documents are tracked throughout the whole process, from pickup to delivery, to ensure all steps are performed to Century's high standards.
Century can deliver your electronic documents as PDF files (or other formats) to you on flash drives or SFTP, or they can be stored on Century's CenCloud Online Document Repository. With CenCloud, you just log in, enter whatever you know about the document you need, and it's displayed on your screen… It's just that easy.

What types of documents do you specialize in scanning?
Century has extensive experience scanning almost any type of document you may have.
Are there any limitations on size, format, or material?
Century scans small sizes and large sizes up to 44 inches wide. We don't scan paintings or artwork that cannot be fed through a scanner.
How do you ensure the security and confidentiality of sensitive documents during and after the scanning process
All of Century's employees undergo background checks. When your documents are picked up they are monitored until they reach Century's scanning facility where they remained secured until we either delivery them back to you or have them securely destroyed.
What file formats do you provide for scanned documents?
Century can provide your digital documents in the format you need them. Most commonly they are output as named PDFs.
Do you offer searchable text through OCR technology?
Yes, Century offers optional OCR on all documents scanned.
How do you handle documents that are fragile, torn, or in poor condition?
Torn or fragile documents are taped or possibly taped to another piece of paper. Century's experienced scanning personnel can tell if the document is too brittle to feed through the scanner, in which case, other options will be discussed with the customer.
Can you describe your indexing and categorization methods to ensure easy retrieval of scanned documents?
You tell us which index fields you need. Then, the documents are usually indexed either through the use of barcodes (with matching and merging of data from a customer-provided data file), or by being hand keyed by Century's experienced data entry personnel. Accuracy of indexing is very important to us!
What options do you offer for document disposal or return after scanning, especially if the originals are no longer needed?
After Century has scanned and processed your documents, we can deliver them back to you, or have them securely destroyed after a designated period of time.
